Our service providers

We use a small number of trusted providers to deliver our services. This page lists who they are, what we use them for, and where your information is stored. Our Terms of Business and Privacy Policy refer to this page, and we update it whenever our providers change.

Accounting, tax and practice management

  • Xero (including Xero Tax and Practice Manager). Accounting, tax returns, and job and client management. Data stored in the United States [check].

  • FYI Document storage and practice management. Data stored in Australia (Sydney).

Document capture, file storage and email

  • Hubdoc (part of Xero) Capturing receipts and invoices. Data stored in [check].

  • Microsoft 365 Email, calendar, Teams and file storage. Data stored in Australia [check].

Onboarding, proposals, signing and billing

  • OnboardMe Onboarding, proposals, billing and client forms. Data stored in Australia.

  • Annature Digital signing and identity verification. Data stored in Australia (Sydney).

  • Pinch. Direct debit and card payments. Data stored in Australia [check].

Identity verification and anti-money laundering screening

  • Stripe Identity (via Annature). Online ID and selfie checks. Processed in the United States.

  • ComplyCube (via Annature). Identity and anti-money laundering screening. Processed in the United Kingdom.

Scheduling, meetings and client platforms

  • Calendly Booking meetings. Data stored in the United States [check].

  • Fireflies.ai Recording, transcribing and summarising meetings, with your agreement. Data stored in the United States.

  • Skool The Numbers People client hub. Data stored in the United States [check].

Generative AI tools

  • Claude (Anthropic). Drafting, research, analysis, working papers and draft returns for our review. Processed in the United States.

  • ChatGPT (OpenAI). Drafting and research. Processed in the United States.

  • Nylon AI. AI tax and legal research, and review of client documents against tax law. Data stored in Australia (Sydney).

  • Microsoft 365 Copilot. Drafting, summarising and analysis within Outlook, Word, Excel and Teams. Data stored in Australia with our Microsoft 365 account; some AI processing may occur overseas.

All AI tools are used on business accounts and settings that don’t allow your information to be used to train AI models. Nothing produced by AI is relied on or sent without review by our team.

Offshore team

  • Philippines. Bookkeeping, data processing, and draft tax returns and financial statements.

  • India. Bookkeeping, data processing, and draft tax returns and financial statements.

Our offshore contractors work in the systems listed above, under our direct supervision. All their work is reviewed by Maree Jones (Registered Tax Agent) before it’s relied on. If we add a contractor or provider in a new country for your work, we’ll tell you first.
